Workflows

One of the great strengths of 123-Works is the automation workflow engine to power your 123 eco system. With pre-configured workflows to get you up and running or create your own workflow using our graphical interactive workflow builder.

Workflows start with a trigger which you can drag and drop on to the builder and these include - eg when an expense has been submitted run the expense workflow.

Tailored workflows to suit the individual

123-Works allows for multiple workflows to be in place so the records submitted by your different teams can go thruogh an alternative workflow. Great for management teams and external teams which might require additional sign off

Record Validation

To speed up the approvals process, 123-Works has validation checks for our HR modules - expenses, timesheets etc to ensure that the information provided will not get rejected due to mistakes entered by the user.

Auto-Approval

For senior managers auto-approval is the way to go. Simply submit a leave request with auto-approval ticked will ensure that no workflow is required. Auto-approvals feature is secured using the 123 Golden tickets so only specified people will be allowed to use the auto-approval feature.

Approvals step

Each stage of the workflow can be assigned to an individual, job role or team to approve the record. If a team is assigned to approve then any member of the team can do so.

Approvers unavailable? No problem. With 123-Works workflow, administrators can just add an alternative approver to temporarily approve instead of the unavailable approvers.

Rejection step

During the approvals step an expenses and other record may be rejected back to the author. 123-Works provide commenting so approvers can add a comment and explain the reason for the rejection so that the author can fix and problems and re-submit for approval.

Approving and Notifications

Reducing the effort required by managers to check and approve expense requests, the system will automatically validate all requests based on business requirements.

Fremium users are automatically setup with basic approval handling and your service users will be notified when their absense request has been approved or rejected. Upgrade to include workflows to enable multi-stage approvals.

One-click is all it takes to approve or reject a expense request and all actions are recorded for auditing. Employees will see their approved holiday on their calendar and any rejected requests can be edited and re-submitted as appropriate.
