Creating the order

This is the start of the subcontract management process, having previously added your subcontractors and contracts.

Subcontract Order

Start by creating basic order details and select the contract and subcontractor. Our system will automatically highlight any issues relating to the contract or subcontractor selected.

Drag and drop an existing order and setup the Measured Works from excel or create a new one and add all of the details of the order including main and subsections.

Payment Schedule

Generate a payment schedule automatically from a starting date and preset configurable offsets for payment notice day, payless notice day, applications due etc. The payment schedule will higlight any dates which fall on a weekend so can be modified accordingly.

Subcontractor

Once the order has been setup, click the Submit button to apply through a workflow for approval via your contracts teams. Once approved the order can be automatically 'published' so that your subcontractor gets a notification immediately or hold off and publish to the subcontractor at a time that suits.

Approving and Notifications

Reducing the effort required by managers to check and approve subcontract order, the system will automatically validate all requests based on business requirements.

Fremium users are automatically setup with basic approval handling and your contracts team have visibilty to a history log to see who approved the order. Multi-stage approvals is ready to go.

Notifications are sent via email and push notifications to the 123-Works App.

Reporting with Awareness Intelligence

Our advanced reporting system makes it easy for managers and contracts team to find the information they need.

We provide the tools for all team members to be notified of late applications and other issues which can arise during the subcontracting process.

Invite your subcontractors on to 123-Works to enable them to sign in to your system.

Subcontractors receive notifications via email when a new order has been published to them and they can quickly review the order.

Subcontractors can easily select a contract/application period and create their application. Add values against the application, upload photos and other supporting documents and add comments.

Applications along with Variations are submitted into their own approval process. Contracts teams are notified in order to review the application, add additional comments and proceed to creating a Payment Notice or Pay less notice.

Access & Security

Users can access the system on any device - mobile, tablet and desktop and therefore can book their subcontract anytime convenient to them. No need to be in the office, the system is available 24/7 providing a true self-service solution for your subcontract management requirements.
